Privacy Statement

Charity of Hope is committed to respecting the privacy of personal information including its collection, use, protection, and disclosure.  This includes the personal information of prospective donors, actual donors, board members, staff, volunteers, funding applicants, prospective donees, actual donees, and individuals who engage with Charity of Hope at fundraising events.

Purpose
To protect privacy and maintain the confidentiality of personal information.

Charity of Hope’s Commitment to Protecting Privacy
Charity of Hope relies upon generous donations to provide hope to disadvantaged, less fortunate, and special needs children, youth, and their families.  We recognize that information is precious, and Charity of Hope supporters and donees trust Charity of Hope to treat their information with respect for their privacy and a commitment to protecting the confidentiality of data.  It is essential that Charity of Hope protects the privacy of personal information individuals may choose to share with Charity of Hope or that Charity of Hope may gather by other lawful means.

What is Personal Information?
Personal information refers to information about an identifiable individual, but excludes certain business contact information, specifically name, title, business address or telephone number of an employee of an organization. From time to time, Charity of Hope may, acting reasonably, collect information about identifiable individuals from published or public sources for the purposes of developing relationships with individuals.

The areas in which Charity of Hope collects and uses personal information in accordance with this statement are principally, but not limited to:

Community Charity of Hope’s work to improve the lives of disadvantaged, less fortunate, and special needs children, youth, and their families involves working with individuals acting on their own initiative or as representatives of an individual, individuals, community agencies, governments, and other partner organizations that share the objective of Charity of Hope. Charity of Hope gathers and uses personal information to keep individuals informed about relevant Charity of Hope fundraisers and funding opportunities.

Donations Charity of Hope will collect and use personal information necessary to process donations and payments, issue donation receipts for income tax purposes, maintain a donation history, keep donors informed about giving opportunities and the work carried out by Charity of Hope, acknowledge and recognize donations, and comply with federal and provincial regulatory guidelines and reporting requirements.

Volunteering Charity of Hope will collect and use personal information to establish and maintain the volunteer relationship, assist volunteers in performing their volunteering roles and responsibilities, and keep them informed about relevant Charity of Hope activities and the work funded by Charity of Hope.

Event Participation Charity of Hope will collect and use personal information necessary to communicate with individuals about fundraising events, contests, and promotions that they participate in, issues concerning related transactions, information about other fundraising events in which they may be interested, and the work funded by Charity of Hope; to recognize participation and award prizes; and to comply with federal and provincial regulatory guidelines and reporting requirements.

Employees Charity of Hope collects and uses personal information to establish, maintain, administer, and terminate the employment relationship including ongoing obligations regarding benefits, medical history, and pension.

Charity of Hope Privacy Principles
The following principles reflect Charity of Hope’s pledge to protect the privacy of personal information:

Accountability Charity of Hope is responsible for all personal information in its possession.  Charity of Hope keeps personal information in strict confidence.  All employees, agents (including authorized volunteers), and authorized service providers of Charity of Hope are required to protect the confidentiality of personal information.

Identifying Purposes
Charity of Hope collects, uses, and discloses personal information only for certain purposes that identify to individuals. The purposes for which personal information is collected will be identified at the time the information is collected.

With consent, Charity of Hope collects information about individuals for various purposes, including the following:

  • to establish identity.
  • to administer involvements with Charity of Hope, including donations, funding requests, fundraising event participation, community engagements, volunteering, employment, and contact individuals about their continued involvement.
  • to know who the donors, donees, volunteers, and other supporters are in order to manage and develop resources to fulfill Charity of Hope objectives of providing hope to disadvantaged, less fortunate, and special needs children, youth, and their families
  • to respond to information requests.
  • to periodically, as Charity of Hope is able, send individuals information on Charity of Hope or invite individuals to Charity of Hope fundraising events
  • to thank individuals, and, with consent, publicly recognize financial or non-financial contributions.
  • to generate statistics and aggregate reporting to help Charity of Hope understand where the greatest impact can be achieved within the community.
  • to meet legal and regulatory requirements.

Consent
Charity of Hope obtains personal information about individuals lawfully and fairly.  Charity of Hope collects, uses, or discloses personal information with permission, except where otherwise required or permitted by law.  Permission may be expressed (orally, electronically or in writing) or may be implied (by an action or inaction).  Individuals may withdraw permission to the use and disclosure of personal information at any time.  Charity of Hope will comply, subject to legal, contractual, or technical restrictions. For example, if individuals ask to not receive any e-mails from Charity of Hope, Charity of Hope will take steps to suppress donation requests or general information, but Charity of Hope will still mail donation receipt for income tax purpose.

Limiting Collection
Personal information collected will be limited to that required for the purposes identified by Charity of Hope.

Limiting Use, Disclosure, and Retention Charity of Hope uses information for the purposes identified to individuals.  When Charity of Hope intends to use personal information for a purpose not identified to individuals when the information was collected, Charity of Hope will identify the new purpose and obtain permission prior to use.  Charity of Hope does not sell personal information.  Charity of Hope will only disclose personal information with consent, or as otherwise required or permitted by law.  Charity of Hope will keep personal information only as long as it is necessary to satisfy the purposes for which it was obtained, or as required by law. When personal information is destroyed, Charity of Hope will use safeguards to prevent unauthorized parties from gaining access to that information during the process.

Accuracy Charity of Hope maintains appropriate procedures to ensure that personal information is as accurate and up to date as is necessary for the purposes for which it is to be used.  Charity of Hope relies on individuals to provide Charity of Hope with any changes to personal information, and in particular to contact information.  If individuals believe any of the information collected by Charity of Hope is incorrect or incomplete, individuals have the right to ask us to change it or delete it.  If personal information is inaccurate or incomplete, Charity of Hope will make the necessary changes.

Safeguards
Charity of Hope maintains appropriate technical and organizational safeguards to protect personal information against loss, theft, unauthorized access, disclosure, copying, use or modification.  Access to personal information is restricted to Charity of Hope employees, the Charity of Hope Board of Directors, and agents and authorized service providers who need the information to fulfill the purpose for which the information was collected.  Charity of Hope will protect personal information by safeguards that are appropriate to the sensitivity of that information and the format of the information, whether electronic or physical.  Procedures include physical security measures, organizational measures including security clearances and limiting access on a “need-to-know” basis, and technological measures such as the use of passwords and encryption.

Openness
Charity of Hope’s Privacy Statement is available to individuals at all times on the Charity of Hope website. If individuals are unable to access the Charity of Hope website or require the Privacy Statement policy in another format, Charity of Hope will do its best to provide it in an alternative format that meets individual requirements.

Individual Access
Individuals may ask whether Charity of Hope possesses any of their personal information, see their information, and ensure that it is accurate. Charity of Hope may ask that individuals submit their request in writing.  Charity of Hope will need to confirm the identity of individuals prior to disclosing any information.  Individuals also have the right to know how Charity of Hope collects personal information and how it is being used.

Individuals with any privacy concerns or requests may contact Charity of Hope’s Executive Director, Sam Minniti, via e-mail at samminniti@charityofhope.com to discuss said concerns or requests.  You may register a privacy-related complaining.

Changes to this Privacy Statement
Charity of Hope may at any time, without notice and in its sole discretion, amend this statement from time to time.
